First, we want to thank you for the contributions you and your organization are making to help fight the outbreak of COVID-19. Each of us in the healthcare system has a vital role to play, both as individuals and as organizations.
We want to assure you that Zen is taking all necessary steps to be prepared for any potential COVID-19 scenarios that could unfold. Our goal is to minimize the health risk for our customers & employees and maintain business operations as normal for you. Zen already had a detailed business continuity plan in place and is leveraging that foundation to address the specific needs of managing the COVID-19 outbreak.
Our Proactive Measures are in Place!
Here is a high-level summary of the proactive measures Zen Healthcare IT is taking as part of our Business Continuity Planning.
- Our overall Business Continuity Plan is being reviewed and updated as needed to address emerging conditions here in Costa Mesa and in other parts of the country where we have employees working remotely. Zen’s CEO and President meet daily to review key virus related statistics, monitor key business partner updates, and regularly communicate to Zen senior managers and employees.
- Zen was designed from the beginning to be a “remote work” environment. We took this approach to ensure we could hire the most talented subject matter experts in healthcare data interoperability. In addition, all Zen technical resources are able to work from home in a highly secure manner. Zen mandates the use of special equipment to enable highly secure remote access, and has recently performed testing to ensure all secure connectivity is working properly.
- Zen has a distributed workforce, with a number of key staff members already working from home, and in varied locations across the country. Our operations, policies and procedures are already optimized for a work at home scenario.
- Zen has suspended all non-urgent business travel through the end of April. Since Zen does not provide services within our client’s physical locations, this does not negatively impact our business in any way.
- We have published self-quarantine guidelines to all employees and are actively enforcing them. For the employees who work in the corporate office we have implemented strict social distancing and sanitizing procedures. And we are in a position to implement 100% work from home as needed, based on conditions here in Orange County, CA.
- Zen’s infrastructure team is closely communicating with our hosting vendor and we are pleased to report that they have implemented very stringent policies to ensure uninterrupted service and are updating us frequently.
